Adapting to Digital Transformation, Even IT Novices Can Now Lead Technological Advancements. (Part 1)
In recent years, the development and application of emerging technologies have become indispensable for both businesses and individuals. From automated reports to streamlined workflows, modern technology offers numerous opportunities for development, reducing manpower and time costs while increasing team efficiency and productivity.
Hantec Group has always placed great emphasis on the development of information technology. However, with the rising demand for digital transformation within the organization, the group recognized that relying solely on the IT department could overwhelm them and hinder core technological advancements. As a result, the group embarked on a new endeavor, establishing the IT Adoption Project. Members from different departments joined forces to test how much efficiency could be improved without the assistance of IT professionals, solely relying on affordable or free software available in the market.
While not disrupting daily operations, each participant was required to share their individual research findings every week. After two months and eight sessions of sharing, impressive results emerged. Colleagues from the Global Operations Department, Chai Ka Ming (Simon), and Fok Kam Fai (Raven), also participated in the project. Simon developed a prototype of a leave application that seamlessly integrated with Microsoft Teams for approval. Meanwhile, Raven focused on report automation, reducing a report preparation process that once took a day to just half an hour.
Through this project, members realized that even without professional assistance, they could make valuable contributions to the group. Intriguingly, after the project's conclusion, none of the participants stopped their research; they continued and eventually implemented their findings into the company's actual operations, demonstrating the project's enduring spirit.
Recognizing this, the Global Operations Department formed the IT Adoption Team, led by Simon. The team delved into IT Adoption-related projects, seeking innovative solutions to address their department's needs. Through their research, they found that automation software significantly simplified certain workflows. Consequently, their roles transitioned into supervision and minor adjustments, allowing technology to handle repetitive tasks more efficiently. This increase in efficiency enabled them to phase out time-consuming, labor-intensive tasks, ultimately saving a substantial amount of time.
In the interview, they shared how the use of automation software and technology has increased the company's productivity and efficiency. Simon mentioned that in their daily work, there are certain areas where they need to copy hundreds or thousands of data entries, involving repetitive copying and pasting tasks. However, these tasks can now be easily completed using automation programs. What used to take them two hours to complete now only requires twenty minutes.
On the other hand, Raven believes that implementing automation software and technology can simplify some workflow processes. Their roles can focus on minor adjustments and supervision, as human resources are limited, and technology excels at handling repetitive tasks. This increased efficiency has enabled them to eliminate previously time-consuming and labor-intensive tasks that heavily relied on manual work, ultimately resulting in significant time savings.
Beyond enhancing work efficiency, boosting competitiveness is another essential benefit of adopting IT. Introducing new technologies can help businesses and individuals adapt better to market changes and challenges, thereby improving overall competitiveness and growth potential. For companies, the return on investment depends primarily on the cost-effectiveness of the implementation and the personal work efficiency of employees. Simon stated that introducing automation software and technology could greatly enhance employee job satisfaction, as they save significant time and energy on repetitive tasks, allowing more time to develop their skills and careers. As they acquire relevant knowledge and experience, they become less susceptible to being overshadowed by the rapidly changing market. This presents a significant advantage for both individuals and companies in enhancing competitiveness.
However, while enjoying the benefits brought by technology, businesses and individuals must also consider corresponding costs and risks. Raven mentioned possible risks and concerns with the use of automation software and emerging technologies. For instance, applications like machine learning and artificial intelligence can help businesses better understand markets, customers, and competitors, leading to more effective business strategies and plans. Yet, when using AI tools like ChatGPT, he suggested refraining from involving company names or confidential data, as they are processed by artificial intelligence, and users cannot control their back-end operations.
The future development direction of IT Adoption will impact various industries and domains. These technologies will become increasingly intelligent and cloud-based, enhancing work efficiency, reducing errors, and contributing to improved decision-making and enriched customer experiences.
